Team Assistant – Part Time

About the Role:

SaCSA is seeking a proactive and dynamic Team Assistant to support our Training Products & Projects Team.

This role will involve:

  • Diary management.
  • Travel coordination.
  • Managing shared inboxes, drafting correspondence and coordinating document approval flows.
  • Drafting documents and presentations.
  • Organising meetings and events with stakeholders.
  • Preparing briefs, meeting agendas, taking meeting minutes and capturing action items.
  • Maintaining up-to-date records in our database.
  • Proofreading, editing and collating information for reports and planning.
  • Additional administrative duties as needed.

About the Location and Flexibility:

This is a part-time role, looking at 2-3 days (15-22 hours) per week, with potential for this to eventually increase hours if needed. The role is being offered on a hybrid basis, with time in our Melbourne office each week near Flinders Station.

We are open to discussing what works for you, but our preference would be three days, Tuesday to Thursday, with Wednesday working from home (if desired). We embrace flexibility and are open to flexible hours, such as 3 shorter days.

About You:

The ideal candidate will have:

  • Exceptional organisational skills and a demonstrated ability to manage multiple projects and competing priorities.
  • Exceptional written and verbal communication skills.
  • Superior interpersonal skills and the ability to quickly build positive and productive working relationships with internal and external stakeholders.
  • A proactive and thorough approach to managing competing priorities and deadlines.
  • A strong attention to detail, ensuring accuracy in assigned work.
  • Basic research and analysis skills, including the ability to problem solve and adapt to shifting priorities in a complex environment.
  • Demonstrated computer literacy with solid proficiency in the Microsoft Office Suite.

You will stand out even more if you have:

  • A working knowledge of Monday.com and/or Hubspot (desirable).
  • Experience in a similar administrative or Personal/Executive Assistant role (desirable).
  • Experience working within an RTO and/or an understanding of the VET sector (desirable).
