Supervisor Business & Facilities Support

Roster:  Monday – Friday | Permanent | Full Time 
Location:  South Perth Corporate Office

Your Opportunity

Reporting to the Chief People Officer, this role will oversee and manage the smooth daily running of our corporate office which includes the management of office facilities, maintenance and repairs as well as administering related contracts and ensuring compliance with contractual obligations. You will lead a small administration team and work collaboratively with our Executive Assistants to execute joint programs of work. Managing strategic relationships with external suppliers, service providers and contractors will form a key part of this role.   

Key accountabilities include: 

  • Lead the smooth daily operations of IGO’s corporate office including building facilities and office management (office maintenance, renovations, repairs and budgeting);   
  • Plan and implement cost effective and quality facilities services including the preparation of proposals for capital expenditure and minor works;  
  • Assist in the development of departmental strategy which aligns and supports overall company culture and programs of work;  
  • Develop and manage annual budget and exercise control measures as necessary;   
  • Use cost-benefit analysis techniques to enable timely decision making by senior management;  
  • Oversee the administration of building contracts, ensuring compliance with contractual obligations and monitoring of performance;  
  • Actively participate in the business improvement function by analysing and enhancing business processes;  
  • Conduct regular inspections to identify risk and ensure compliance with health and safety regulations; and  
  • Plan, coordinate and oversee internal office events where required. 

Your Experience  

Along with an engaging communication style and pro-active attitude, you must be a team player and bring the following skills: 

  • Significant experience in a similar role within a commercially focussed environment;   
  • Previous experience in office management and executive assistant roles well regarded; 
  • Self-motivated with the ability to work autonomously and act with a high level of initiative;  
  • Demonstrated experience in facilities and contract management within an office environment;  
  • Delivery and outcome focused with a passion for problem solving and task completion;  
  • An influential leadership style with great communication and stakeholder engagement skills;  
  • Well-developed time management skills and the ability to manage multiple priorities and tasks;  
  • Advanced proficiency in MS Office, Pronto (preferred) and Excel for budgeting;  
  • Valid ‘C’ class manual drivers’ licence; and  
  • National Police Clearance obtained within the last two months.
