Executive Coordinator

As the Executive Coordinator (Strategic Communication), you will provide administrative support to the Executive Director (Strategic Communication), Directors & functional teams.

Some of your responsibilities will include:

  • Business Operations: Coordinate the day-to-day business of the Office of the Executive Director by proactively managing, meeting preparation & follow-up actions, diary & travel arrangements, document management, planning & preparation
  • Stakeholder & Relationship Management: Liaise, consult & maintain effective relationships with team members & internal & external clients & stakeholders; tailoring communication & advice to meet the needs of diverse audiences & stakeholders.
  • Advisory Support: Prioritise actions & respond in a timely manner to enquires from stakeholders, following quality standards, public sector legislation, policies, practices & procedures. Escalate items requiring approvals to the Executive Director or relevant team member.
  • Event Coordination: Organise the safety & wellbeing educational activities on behalf of the strategic communication unit, including managing safety interactions & coordinating unit events & wellbeing activities.
  • Administrative Expertise: Provide a range of project or administrative activities & tasks, for example, conduct & compile research & analysis within specified parameters; organise meetings & collate related papers, reports or agendas; develop & maintain databases; update records on systems & coordinate recruitment across the team.
