Executive Assistant to Senior Manager Band 1

The Flight Standards Branch of the National Operations and Standards Division (NOS) is responsible for the development and maintenance of regulatory standards and guidance material, as well as the provision of policy and technical advice for areas covering flight operations, flight training, flight crew licensing, aerodromes, flight simulation training devices and air traffic management systems. This includes ensuring harmonisation where appropriate with ICAO and other international standards.

The Airworthiness and Engineering Branch of the National Operations and Standards Division (NOS) is responsible for policy, legislation, guidance material, internal procedures and processes for all elements of the airworthiness domain, as well as; aircraft certification; regulatory services and surveillance of design and production approval holders; monitoring and addressing unsafe conditions of in-service aircraft; and maintaining Australia’s airworthiness obligations under the Chicago Convention and other international agreements.

As a Corporate Service 2 (above barrier) Executive Assistant, you will provide executive support to a Senior Manager Band 1. While working independently you will be responsible the day-to-day management of the Branch Manager’s office and support of Branch functions and priorities.

You will generally (but are not limited to):

  • liaise as a first point of contact with internal and external stakeholders on policy, project or operational issues
  • provide diary and administrative support to the Branch Manager
  • use your knowledge of the functions and responsibilities of the Branch to coordinate work for key external stakeholders, i.e. International Civil Aviation Organization (ICAO) and the Australian Transport Safety Bureau (ATSB)
  • work with branch staff to ensure that all correspondence is managed appropriately, and ensuring all deadlines are met
  • assisting with the management of flight standards regulatory projects
  • coordinate and work with relevant staff to provide responses to corporate documents
  • anticipate requirements for, and timely preparation of, briefing material prior to internal and external meetings
  • ensure all hardcopy and electronic documents within the Branch Manager’s office are filed in accordance with approved records management processes and security requirements
  • promote workplace safety, equity and diversity, participative management and environmental management in the workplace and act in accordance with CASA’s Values and Behaviours.

Our ideal candidate

To be successful in the role you will require a high level of integrity, and strong communication and organisational skills to manage competing priorities for the successful delivery of branch, divisional and/or CASA wide objectives.

You will have sound judgement, a high degree of initiative, attention to detail and discretion in dealing with business matters. You will have the ability to work collaboratively with others and build productive relationships to achieve results in a busy, fast paced environment.

Ideal candidates are those who have ideally worked previously as an Executive Assistant, preferably in a regulatory or aviation technical environment. You will be a self-starter, motivated to contribute to aviation safety, have good judgement, be proactive and organised and results oriented. You will have demonstrated ability to:

  • assist in the management and completion of discrete projects and taskings related to the development and ongoing maintenance of flight standards.
  • liaise, manage and work professionally with a diverse range of internal and external stakeholders.
  • prepare minutes, collate documents and research and assimilate information across a range of technical topics for distribution with a high level of attention to detail.
  • quickly adapt to software applications including the use the MS Office suite
  • display attention to detail with the ability to adapt to competing priorities and stay focused in a
    fast- paced environment.
  • exercise strong discretion in a position of trust.

Eligibility requirements

Employment with CASA is subject to conditions prescribed within the Civil Aviation Act 1988.  The following eligibility requirements apply to this position:

  • At minimum, prospective CASA employees must undergo pre-employment screening. You must be willing to provide required information to successfully undergo a police record check.
  • Must be an Australian citizen or permanent resident.
