Executive Assistant

  • ASIC is seeking a full time Executive Assistant to support the Chief Internal Auditor and the Internal Audit Team.
  • Permanent position based in Canberra or Sydney.
  • Salary range from $90,749 – $107,911 (plus 15.4% superannuation) depending on experience.
  • Hybrid working – enjoy 2-3 days working from home.

The team

Internal Audit is a core and highly valued element of ASIC’s corporate governance framework.  The team works closely with the Audit and Risk Committee, the Executive Risk Committee, Commission Risk Committee and all levels of Senior Management and Commission members across ASIC.

The work of the internal audit function is interesting and broad ranging.  It includes assessing internal control frameworks, governance and risk management processes across all areas of ASIC’s business, as well as a range of other management assurance activities.

 

The role

As an Executive Assistant, you will be accountable for:

  • Working effectively (supporting up to two Senior Executives) as a crucial part of the Internal Audit team through the provision of administrative support to the Chief Internal Auditor (CIA) and the wider Internal Audit team.
  • Being the key point of contact for the Audit and Risk Committee (ARC) members (currently 5 external members) and ensuring that their travel, business and meeting needs are met and having the great opportunity to work as a secretariat for ASIC’s ARC meetings (up to 8 per year).
  • Providing a range of services including preparing presentations, correspondence, filing and records management, mail, maintenance of registers and databases, as relevant.
  • Arranging and coordinating meetings with all stakeholders including room & equipment bookings, catering needs, agenda preparation, and preparing and sending meeting documentation.
  • Coordinating travel and accommodation, preparing corporate card reconciliations, basic procurement, and expenditure administration.
  • Undertaking coordination of stakeholder meetings for the CIA, liaising with the wider ASIC EAs and managers to ensure time frames are met.
  • Participating in meetings, taking minutes, disseminating meeting documents, drafting minutes and monitoring action items
  • Working with the Executives to support Internal Audit team members adapt to IT changes or different ways of working.
  • Participating in the ASIC EA network.

 

About you

  • Relevant vocational qualification in office or business management.
  • 5~7 years of experience with diary management and administrative requirements of senior executives in a government agency, financial services, or private sector organisation.
  • Ability to work autonomously, demonstrate initiative, manage priorities and allocate resources to achieve outcomes.
  • Experience preparing presentations using PowerPoint.
  • Experience undertaking research, reviewing, and editing documents, to assist with the preparation of responses.
  • Experience working with Microsoft products including Outlook, word, excel and PowerPoint.
  • Experience working with SharePoint or similar content management database.
  • Ability to resolve problems, demonstrating analytical and decision-making capability.
  • Ability to build and maintain working relationships effectively liaising with the EA network and ASIC staff in the Group.
