About the opportunity

The Operational Improvement Branch within the Regulatory Oversight Division is responsible for the optimisation of the Regulatory Oversight Division’s policy and procedures and identifying areas of operational improvement. Collaboration, adaptability and being outcome focused will be key to the success of this role.

The Document Editor, Operational Improvement Branch is responsible for quality assurance and document control including review, editing and formatting of technical documents while ensuring documents meet government and organisational standards. The role requires active engagement in both significant projects and smaller initiatives, involving document governance, alignment to the Australian Government style manual, and document control principles.

The role works collaboratively with subject matter experts to facilitate the editing and rework of technical documentation to ensure it is clear, concise and consistent, and supports CASA’s regulatory requirements.

This role reports to the Manager Policy, Procedures and Operational Improvement and is required to work with a significant degree of independence and initiative.

Working under limited supervision and guidance, the Document Editor is responsible in the Regulatory Oversight Division for the following deliverables:

  • Provide support across a broad range of document development activities including coordination, review, editing, formatting, and quality assurance.
  • Provide advice on best practice and requirements for document development, quality, process and standards.
  • Produce documents that are compliant with CASA standards, the Australian Government Style Manual and meet Web Content Accessibility Guidelines (WCAG).
  • Liaise with internal stakeholders to proactively set priorities and objectives for short-term tasks and operational planning.
  • Monitor priorities and context, working collaboratively with stakeholders to identify, communicate and manage risks and opportunities.
  • Prepare or update documents for internal and external audiences, including standard email responses, website content, letters, reports and presentations.
  • Support information management systems (Document Catalogue), records management system (RMS), record cataloguing, structures and classification systems.
  • Coach new users on the Document Catalogue and guide users with workflow progression and publication requirements.
  • Foster an environment of continuous improvement and proactively engage stakeholders through effective and considered communication, working collaboratively to deliver regulatory services.
  • Conduct reviews of Regulatory Oversight Division document management operations to ensure continual improvement and optimisation of practices and procedures.
  • Engage with Aboriginal and Torres Strait Islander employees in a sensitive, respectful, and equitable manner.
  • Promote workplace safety, equity and diversity, participative management and environmental management in the workplace and behaviours and actions that are in accordance with CASA’s Values.

Our ideal candidate

Our ideal candidate must demonstrate:

  • Demonstrated experience in manual writing, editing and quality assurance of technical documents, preferably in a government or regulatory environment.
  • Demonstrated ability in critical analysis, research and interpretation of complex legislation and authoring principles.
  • Strong written and verbal communication skills, including the ability to write technical material for technical and non-technical audiences Demonstrated experience in coaching staff on document control procedures and related tools.
  • An understanding of effective document quality practices and standards across a geographically dispersed multi-disciplined environment.
  • Advanced skills in the use of the MS Office suite, in particular MS Word and MS Excel, and Adobe Acrobat X.
  • An understanding of the Web Content Accessibility Guidelines (WCAG) and how to apply accessibility standards.

The following are desirable requirements for the role:

  • Relevant tertiary qualifications and/or work experience.
  • Experience within the aviation industry, including sound knowledge of aviation terminology.
  • Demonstrated document management using RM8 or a similar records management system.
  • Demonstrated experience in project work and meeting deadlines, whilst managing relationships with key stakeholders.
  • Demonstrate the ability to exercise evaluative judgement to deal with unfamiliar circumstances, and/ or sudden changes.

Eligibility requirements

Employment with CASA is subject to conditions prescribed within the Civil Aviation Act 1988.  The following eligibility requirements apply to this position:

  • At minimum, prospective CASA employees must undergo pre-employment screening. You must be willing to provide required information to successfully undergo a police record check.
  • Must be an Australian citizen or permanent resident.
