Clinical Examination Coordinator

We have an exciting new opportunity for a clinical examination coordinator to join our dynamic and committed team in our Melbourne office. This role plays a crucial part in coordinating and delivering our clinical examinations for overseas dental practitioners seeking to register to practise in Australia. Reporting to the Manager, Examination Delivery, the full-time position is responsible for coordinating the operations and delivery of high stakes examination activities at the Examination Centre and for supporting examiners and examination procedures.

Key responsibilities include:

  • Coordinate the operations of the Examination Centre, ensuring smooth functionality.
  • Ensure adherence to examination protocols and maintain high standards of operation throughout exam activities.
  • Support the examination convenor, examiners and examinations team to ensure the successful day-to-day delivery of the practical examination.
  • Schedule examination sessions and facilities, including clinic chairs, OSCE rooms, briefing rooms, etc., venue hire (logistics)
  • Coordinate receipt and dispatch of examination materials.
  • Direct the set-up and pack-up of the examination venue.
  • Oversee the maintenance of examination equipment, maintenance of the venue including liaising with other departments, external maintenance companies.

Desired Skills and Experience

  • Excellent communication skills (written and verbal) with proven ability to liaise with a wide range of individuals.
  • Proven ability to independently organise work priorities, monitor workflow and meet busy schedules.
  • Proven ability to ensure compliance with protocols and rigorous maintenance of records.
  • Experience in a project management and/or an event management role working on high stakes projects or events.
  • Demonstrated ability to identify and manage risks by using previous experience, knowledge, skills and judgment to effectively solve problems and prevent issues from occurring.
  • Exceptional attention to detail and time management skills.
  • High level computer and database management skills.
  • Proven ability to work independently.
