Project Coordinator

The Opportunity  

We are seeking a detail-oriented and organised Project Coordinator to join our team. The successful candidate will be responsible for maintaining the Risk and Decision Register, coordinating the preparation of weekly Reports, coordinating fortnightly status updates, and writing minutes and actions during key meetings. This role requires excellent communication skills, a proactive approach, and the ability to work collaboratively in a fast-paced environment. 

Key Responsibilities: 

  • Maintain the Risk and Decision Register: 
  • Regularly update and manage the Risk and Decision Register, ensuring all entries are accurate, complete, and up-to-date. 
  • Track and follow up on risk mitigation actions and decisions, providing timely updates to relevant stakeholders. 
  • Coordinate Preparation of the Weekly Sprint Report: 
  • Collect and consolidate information from various teams to compile the weekly Sprint Report. 
  • Ensure the report is accurate, comprehensive, and delivered on time. 
  • Distribute the report to relevant stakeholders and address any queries or clarifications. 
  • Coordinate Preparation of Fortnightly Governance Status Update: 
  • Work closely with project managers and team leads to gather and synthesize information for the fortnightly Governance Status Update. 
  • Ensure the update is well-structured, accurate, and reflects the current status of the project. 
  • Distribute the update to governance committees and other key stakeholders. 
  • Write Minutes and Actions During Key Meetings: 
  • Attend key project meetings and diligently take minutes, capturing discussions, decisions, and action items. 
  • Ensure minutes are clear, concise, and accurately reflect the meeting’s proceedings. 
  • Distribute minutes to attendees and follow up on action items as needed. 

Qualifications: 

  • Proven experience as a Project Coordinator or in a similar role 
  • Strong organizational and time management skills 
  • Excellent written and verbal communication skills 
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) 
  • Ability to work independently and as part of a team 
  • Attention to detail and a proactive approach to problem-solving. 

Preferred Qualifications: 

  • Familiarity with project management tools and methodologies. 
  • Knowledge of risk management and governance processes.
